One of the best ways to efficiently monitor spending is to make monitoring part of your daily systems. Make sure that any expenditures are automatically reported and that anything unusual is flagged as a matter of course. If you can make this something that everyone at your work does on a regular basis, you’ll find yourself dealing with emergencies far less often.
Automate What You Can
There’s no reason for you to track all of your spending with a paper and pencil. Invest in small business expense management software to ensure that you’re able to keep track of what’s going on without having to get a human involved. While you’ll always want to keep an in-house pair of eyes on your expenditures, letting an automated system do the work so that you can see the final data is an incredibly efficient way to monitor your money.
Carve Out a Review Time
While checking your spending on a daily basis might seem like a necessity, it might be smarter for your to dedicate a specific time each week to ensuring that all of the numbers line up. The goal should be to space the review periods out far enough that you’re able to get actionable data, but not so far that any major problems can occur between reviews. With a set schedule, you should be able to focus on the other aspects of your business without letting spending slide.
Delegate When You Can
Eventually, your goal should be to get your business to a point where you can delegate the process of monitoring your spending. Having an on-staff accountant or comptroller will give you a better idea of where your money is going and when. While it may take time for your business to get to this point, prioritizing the role of accounting will help you to succeed.

Make monitoring something that you did regularly, but automate and normalize the process so that it becomes just another business function.
